How it works
- 1
Upload your file
Drag in an Excel (.xlsx or .xls) or CSV file. If your workbook has several sheets, pick the one with your owners. No template needed; the first row just needs column names.
- 2
Match the columns
We match your columns to voter fields automatically, such as Owner Name, E-mail or Mailing Address. Drag a column onto a different field to change a match.
- 3
Review and import
Preview your voters before anything is saved, with a count of merged units, paper ballot voters and any rows that need attention. Then import.
Where your voter list comes from
Management software exports
Most management systems can export an owner or homeowner list to Excel or CSV, including AppFolio, Buildium and Vantaca. Export the list, then upload the file as it is.
Step-by-step: how to export your HOA owner list.
Spreadsheets
A list kept in Excel or Google Sheets works too. In Google Sheets, use File, Download, then Microsoft Excel or CSV.
County and title company lists
Owner lists from the county assessor or a title company often use ALL CAPS and combined owner names. Both are cleaned up for you.
Product names belong to their respective owners. DIY Elections is not affiliated with or endorsed by them.
Cleanup built into the preview
Splits combined names
A single Owner Name column is split into first and last names, including "Smith, John" entries. Households like "John & Mary" stay together.
Fixes ALL CAPS
Names and addresses typed in capital letters are converted to normal capitalization, while LLC, INC and state codes stay uppercase.
One ballot per lot
Exact duplicate rows are removed, and units listed more than once are merged into one voter with all owner names and emails, so each lot gets one ballot. Voters already in your election are skipped.
No email? Paper ballot
Owners without a valid email are set to paper ballots automatically, and you see who is missing a mailing address before you send anything.
Property and mailing addresses
The unit's address and the owner's mailing address are kept separate, so absentee and out-of-state owners get their ballot where they actually live.
Ready for electronic and paper voting
Voters with a valid email are set up for electronic voting and everyone else for paper, from the same list. Starting January 1, 2027, AB 1892 sends the electronic voting notice only to members voting electronically, so knowing who votes which way matters.
